LEVEL UP SPORTS EVENT REFUND POLICY

At Level Up Sports, we understand that players and families invest valuable time and money into attending our events. We work hard to provide a first-class experience and to play every event as scheduled. However, weather, field conditions, and other circumstances outside of our control can occasionally impact an event.

The following refund policy applies to all Level Up Sports camps, showcases, tournaments, combines, and special events unless otherwise stated.

1. WEATHER, RAINOUTS & EVENT CANCELLATIONS

Level Up Sports will make every reasonable effort to complete all scheduled games and events. However, player safety and field conditions will always come first.

If games or portions of an event are cancelled due to rain, lightning, severe weather, unsafe field conditions, or other unforeseen circumstances, refunds or event credits will be determined based on how much of the event was completed.

OUR RAINOUT POLICY

0% of the scheduled event completed: Participants will receive a 75% refund or a 100% credit toward a future Level Up Sports event.
Less than 50% of the scheduled event completed: Participants will receive a 50% refund or a 75% credittoward a future Level Up Sports event.
50% or more of the scheduled event completed: No refund or event credit will be issued.

When an event is rescheduled, registrations will automatically transfer to the new date whenever possible.

Refunds and credits will be calculated based on the portion of the overall event that was completed, not necessarily the number of individual games completed by a specific player or team.

All weather-related decisions, including delays, cancellations, shortened games, and event cancellations, will be made by Level Up Sports with player safety and facility conditions as the highest priority.

2. PLAYER OR TEAM CANCELLATIONS

We understand that injuries, illnesses, family emergencies, scheduling conflicts, and other unexpected situations can arise.

Cancellation requests must be submitted in writing.
Refund eligibility may depend on how far in advance the cancellation is received.
If a replacement player or team can be found, Level Up Sports may offer a refund or event credit.
Once event schedules, player lists, coach invitations, uniforms, facility reservations, or other event-related expenses have been finalized, some or all registration fees may become non-refundable.

No-shows are not eligible for refunds or event credits.

3. INJURY OR MEDICAL EMERGENCY

If a registered player suffers an injury or experiences a documented medical emergency before the event, Level Up Sports will review the situation on a case-by-case basis.

When possible, the player may be offered:

A refund, minus non-refundable expenses;
A credit toward a future Level Up Sports event; or
The opportunity to transfer the registration to another eligible player.

Documentation may be requested.

4. EVENT CREDITS

When a refund is not available or practical, Level Up Sports may issue an event credit.

Event credits:

May be applied toward eligible future Level Up Sports events;
May have an expiration date;
Are non-transferable unless approved by Level Up Sports; and
Cannot be exchanged for cash unless otherwise required by law.

5. SCHEDULE CHANGES

Event schedules, game times, field assignments, participating coaches, venues, and event formats are subject to change.

Level Up Sports will make every reasonable effort to communicate significant changes as quickly as possible. Schedule changes alone do not automatically qualify a participant for a refund.

6. COLLEGE COACHES AND RECRUITING EVENTS

For showcase and recruiting events, Level Up Sports works diligently to invite and provide opportunities for college coaches and recruiting representatives to attend.

However, coach attendance may change due to scheduling conflicts, travel issues, weather, institutional obligations, NCAA or other governing-body regulations, illness, or other unforeseen circumstances.

The attendance of a specific college coach or program is not guaranteed unless explicitly stated otherwise. Changes in coach attendance do not automatically qualify a participant for a refund.

7. FORCE MAJEURE AND CIRCUMSTANCES BEYOND OUR CONTROL

Level Up Sports is not responsible for cancellations, delays, interruptions, or changes caused by circumstances beyond our reasonable control, including but not limited to severe weather, natural disasters, facility closures, government actions, public emergencies, travel disruptions, or other unforeseen events.

In these situations, Level Up Sports may offer a rescheduled event, event credit, partial refund, or another reasonable alternative based on the circumstances and expenses associated with the event.

8. REFUND PROCESSING

Approved refunds will be issued to the original method of payment whenever possible.

Please allow 7–14 business days for approved refunds to be processed. Processing times may vary depending on the financial institution or payment provider.

9. LEVEL UP SPORTS DISCRETION

Because every event and circumstance can be different, Level Up Sports reserves the right to review refund requests on a case-by-case basis.

Our goal is always to be fair to our players, families, coaches, and event partners while also accounting for facilities, staffing, equipment, insurance, marketing, and other expenses required to produce a quality event.

At Level Up Sports, we want to be completely transparent about what happens when games are cancelled due to rain, severe weather, unsafe field conditions, facility issues, or other unforeseen circumstances.

When Level Up Sports is required to cancel games during an event, our coaches and umpires are still compensated for their scheduled work and time associated with those games on that day. These individuals have committed their time, traveled to the event, and reserved that portion of their day to serve our players and teams.

Level Up Sports does not financially benefit from cancelling games. We do not simply keep the money associated with cancelled or forfeited games as additional profit. We believe that the time and commitment of the people who make our events possible are valuable. Our coaches and umpires have dedicated their schedules to our events, and we feel it is important to honor that commitment whenever possible.

For this reason, refunds and event credits resulting from cancelled games or shortened events will be evaluated based on the overall circumstances of the event, the amount of play completed, and the expenses and staffing commitments already incurred.

Our goal is always to be fair and transparent with our players, families, coaches, umpires, and staff. Level Up Sports gains nothing by cancelling games, and every decision to cancel, delay, or shorten an event is made with the safety of our participants and the conditions of the facilities as our highest priority.

By registering for a Level Up Sports event, participants acknowledge and agree to this refund policy.
